Monitor Institution Storage

Review the institution storage allowance, current consumption, usage categories, and purchase status.

Portal path Dashboard System Settings Storage

A new institution receives the default storage allowance. Uploaded documents, evidence, schedules, attendance material, assignments, and other managed files contribute to consumption.

The default allowance is currently 5 GB unless an active storage package has increased the institution quota.

Before you begin

  • Institution Admin should review usage before buying capacity and keep the institution billing contact current.
  • The package purchase is institution-wide; it is not a personal quota for the user who clicks the button.

Review capacity and, when needed, purchase an institution storage package

  1. Open Manage Storage

Select Storage in System Settings or Profile Menu > More Settings > Storage.

  2. Review total and used storage

The progress bar compares consumed storage with the institution allowance.

  3. Review usage categories

Use the category summary to identify which kinds of uploads consume the most space.

  4. Monitor notification thresholds

The institution email receives increasingly frequent reminders as usage passes configured thresholds.

  5. Open the purchase workflow

When more capacity is needed, select Purchase More Storage. The available packages, price in the institution currency, billing tenure, payment method, and Auto Renew option are shown before confirmation.

Capacity is shared across the institution

All campuses and managed files in the institution consume the same institution allowance. Additional capacity becomes active only after a successful purchase.

When storage reaches capacity

At 100% usage, new managed uploads are blocked until space becomes available or additional storage is assigned. Existing records remain accessible.

Storage capacity is checked server-side for every new upload; changing browser values or navigating directly to an action cannot bypass the institution quota.

Storage route and private files

The user-facing page is /storage, which resolves to edu/storage.php through the education pretty-URL rules. Do not keep a public directory named storage beside that route, because the web server can resolve the directory instead of the page.

Private storage support files belong outside the public route (for example, a renamed internal storage directory with its private subdirectory). They must not be used as a replacement for storage.php.

Recommended next step

If the package has Auto Renew enabled, review the renewal date and keep the institution email available for expiry reminders.
