Accommodation workflows organize school residence capacity, student applications, offers, contracts, occupancy, room changes, charges, and resident services. Pages are shown only to authorized staff or students with an active accommodation context.
Before you begin
- Set up buildings, rooms, beds, and policies before accepting residence applications.
Verify the student, building, room, bed, and current status on the occupancy page.
-
Configure accommodation
An authorized administrator creates the accommodation policy, buildings, rooms, beds, facilities, and meal plans used by the school.
-
Review applications and offers
Use the residence approval workflow to review student applications, availability, eligibility, and offer details. Record the decision through the page.
-
Check in and manage occupancy
Wardens use Residents and Check-in or Occupancy Explorer to find the student, assigned room and bed, contract status, and check-in information.
-
Process resident requests
Use the applicable operations page for checkout, room changes, transfers, inspections, meal cancellations, and residence issues. Review pending approvals and notices.
-
Review charges and settlements
Finance staff review accommodation charges and settlement tasks using the accommodation finance pages available to their role.
An application, offer, or request is not the same as an active allocation or completed check-in.
Student view
A student uses the accommodation area to review their application, offer, contract, occupancy, charges, and available requests. The options depend on the student’s residence status and school policy.
Submit a room or checkout request through the portal instead of relying on an informal message.
Keep occupancy current
Update check-in, checkout, room moves, inspections, and allocations when they happen. Accurate occupancy drives availability and residence reporting.
