Payment evidence helps the finance office match a student payment to an account transaction. Uploading evidence is not the same as confirming that the school has received or verified the payment.
Before you begin
- Use a readable proof document and confirm the account and invoice before upload.
Verify the account balance and generated receipt after finance posts the transaction.
-
Find the correct account or invoice
Open My Finances or the relevant student account and confirm the student, invoice, amount, and due period.
-
Submit evidence
Choose the payment evidence action, enter the payment date and reference where requested, and upload a clear receipt or transaction proof.
-
Check the submission status
Review whether the evidence is pending, accepted, or returned for correction. If it is returned, read the reason before resubmitting.
-
Finance verifies the payment
Finance staff compare the submitted evidence with the institution’s payment records, then record or confirm the transaction through the authorized account workflow.
-
Download the receipt
After payment is posted, open the account or payment record and download the generated receipt if available. Check the student, amount, date, and reference.
Keep the submission reference and check the account status until the school records the payment.
Keep evidence private
Payment evidence can expose account identifiers and personal information. Upload it only to the student’s account and do not send bank credentials, card details, or passwords.
If a receipt total or payment reference is wrong, contact the finance office and identify the specific transaction. Do not submit duplicate proof for the same payment unless the office asks.
Payment status
A submitted receipt image does not automatically update the student balance. The account ledger and payment status are the authoritative record.
