The student record is the school’s core identity for academic, financial, attendance, examination, and student portal workflows. Confirm the student’s identity and campus before creating a new record.
Before you begin
- Have the student’s official identity and approved admission details ready.
Open the student record and verify the campus, academic term, class, and guardian contact.
-
Search before adding
Open Manage Students and search using the available identity fields. Check existing records in the institution and the campus scope to avoid duplicate enrollment.
-
Add the student
Enter the student’s name and required identity details, admission information, campus, academic term, class, and contact fields. Use the shared student selector where a workflow asks you to choose existing students.
-
Complete guardian information
Enter the guardian’s name, relationship, CNIC, mobile, and email as available. These contact details help school staff identify the responsible guardian.
-
Review the student login option
The student account is separate from any parent account. Complete the student’s own login details or invitation fields shown by the form.
-
Save and verify
Save the record and confirm the student appears in the correct campus, term, and class list. Reopen the record to check contact and guardian details.
-
Download and verify a student card
In Manage Students, select Student Card on a student entry within your authorized access. It downloads a PDF. Student logins are limited to their own card and staff access follows assigned role permissions. Scanning the card QR opens a live verification page for current student status and identity instead of downloading the PDF again.
Duplicate student records can split timetable, finance, parent, and academic history.
Updating a student
Use the student record’s edit action to correct approved details. Changes to campus, class, term, guardian, or login data can affect access and active workflows, so review dependencies before saving.
The three-dot row menu contains context-specific actions. Use Assign Parent there only when the student is not already part of a sibling linkage; linked students should be managed from Sibling Linkage.
Student and guardian identities
A guardian’s contact information may be recorded without creating a parent login. The student account remains the student’s own identity.
Check that CNIC and contact details belong to the correct person before saving, and follow the school’s verification process for corrections.
Recommended next step
If students are siblings, continue with Sibling Linkages before assigning parents.
