Connect Google Meet, Microsoft Teams, and Zoom

OCR for Schools is the school management product in OneClickRooms (OCR) for Education. The other product is OCR for Higher Education.

Connect the school’s authorized workspace accounts and use them for class meeting links.

OCR for Schools connects an authorized school user to the Google Workspace, Microsoft 365, or Zoom account that the school already uses. These are separate services and separate connections; OCR does not provide meeting subscriptions.

Use the connection for a class schedule only after confirming the intended account is connected and the school allows that user to authorize the application.

Before you begin

  • An authorized user and active provider account are required. Ask the provider administrator if consent is restricted.

Connect one provider, test a class schedule, and verify the published link with the intended users.

  1. Open Connect Apps

Sign in to OCR for Schools with an account allowed to use Connect Apps. Open the profile menu, choose Settings, and open Connect Apps.

  2. Choose a provider

Select Google Meet, Microsoft Teams, or Zoom Meeting. Each provider has its own consent and connection status; connect one, two, or all three as the school requires.

  3. Authorize the account

OCR redirects you to the selected provider. Sign in to the workspace account you intend to connect, review the permissions shown by the provider, and approve only if you are authorized to do so.

  4. Confirm the connection

After returning to OCR, verify that the provider card shows Connected and displays the expected account. Repeat separately for any other provider.

  5. Use the provider in a class schedule

Open the class schedule workflow and choose the connected provider in the meeting step. Review the generated link and provider label before publishing the schedule.

OCR is the connector, not the meeting provider

Google, Microsoft, and Zoom provide the meeting services. The school is responsible for provider subscriptions, licences, approvals, usage limits, and meeting content.

Google Meet, Microsoft Teams, and Zoom are separate services

Google Meet links are created through the connected Google Workspace account. Microsoft Teams links are created through the connected Microsoft 365 or Teams workspace account. Zoom links are created through the connected Zoom account. OCR does not replace any provider and does not combine their subscriptions.

If the user connects multiple providers, a class schedule can retain generated links from more than one provider. Review each provider and link in the request before submission; final allocation timing is associated during publication.

Provider requirements and administrator approval

  • The school must already have an appropriately licensed Google Workspace, Microsoft 365, or Zoom account.
  • The user connecting the account must be permitted to approve the requested application permissions.
  • The Connect Apps page requires the user to be at least 18 and have a verified date of birth on the account. If the date is incorrect or missing, ask the Campus Admin to correct the student or staff record.
  • If organization policy restricts third-party applications, ask the Google Workspace, Microsoft 365, or Zoom administrator to approve OneClickRooms before retrying.

Consent, permissions, and privacy

Connect only an account you are authorized to use for the school. The provider consent screen describes the permissions requested. OCR uses the connection for the scheduling operations available to the school, such as creating a meeting link and returning schedule-related details.

OCR processes the provider data needed for those operations. Depending on the provider and requested action, this can include account or tenant identifiers, profile metadata, meeting identifiers, join links, timings, and event or attendee fields returned by the service. The exact fields depend on the provider response and workflow.

Provider passwords and OAuth access tokens are not placed in the browser URL. Connection tokens are stored server-side and used only for authenticated operations for the relevant account. Google API data is handled in accordance with the Google API Services User Data Policy, including its Limited Use requirements where applicable. Connected data is not used for advertising or unrelated purposes.

Meeting content, retention, and school controls

OCR stores schedule-related meeting details needed by the workflow, such as a join link, meeting identifier, time, and a passcode where the provider returns one. OCR does not join, host, record, transcribe, monitor, or control meeting audio, video, chat, screen sharing, teaching material, or other session content. Those services and their content remain with Google, Microsoft, or Zoom under the relevant provider terms.

A published schedule or notification may retain a link that was already generated. Disconnecting a provider does not automatically remove previously shared links or recall an email or calendar invitation. Review affected schedules separately when a connection is removed.

Custom school portal URLs and secure provider handoff

A school may use a verified branded portal URL for the same school account. The branded address does not create a new tenant or change the institution that owns its records.

When Connect Apps sends the browser to a provider and back, OCR uses its registered provider callback and a short-lived, single-use server-side handoff to restore the school portal context. If the handoff is invalid or the return domain is not verified, the connection should be rejected rather than saved.

Google Meet: connect and use it

Open Profile icon > Settings > Connect Apps, find the Google Meet card, and select Connect. Sign in to the Google Workspace account you intend to connect, review Google’s consent screen, and approve only if you are authorized. Confirm the card returns as Connected.

In the class schedule workflow, select Google Meet in the virtual meeting step. OCR uses the connected Google account to create the meeting or associated calendar event and saves the returned join link with the schedule. A published schedule may include the link in its page, notification email, or calendar invitation (.ics) where enabled.

When the associated schedule changes or is cancelled, OCR may update or cancel its Google Calendar event where the API operation is available and the connection remains active. Disconnecting stops new authorized API operations; already published schedule details and invitations may retain their links.

Microsoft Teams: connect and use it

Open Profile icon > Settings > Connect Apps, find the Microsoft Teams card, and select Connect. Sign in to the Microsoft 365 or Teams workspace account to connect, review the permissions shown by Microsoft, and approve only if authorized. Confirm the card returns as Connected.

In the class schedule workflow, select Microsoft Teams in the virtual meeting step. OCR requests a Teams meeting link from the connected workspace and associates the returned link with the schedule. The link may appear in the published schedule, notification email, or calendar invitation (.ics) where those outputs are enabled.

Microsoft Teams remains a Microsoft service with its own availability, quotas, licences, administrator controls, terms, and privacy policies. Disconnecting stops new authorized API operations for that account; it does not recall previously sent messages or automatically remove links already attached to schedules.

Zoom: connect OneClickRooms

  1. Sign in to OCR for Schools with an account permitted to use Connect Apps.
  2. Open Profile icon > Settings > Connect Apps.
  3. Find the Zoom Meeting card and select Connect.
  4. OCR redirects you to Zoom. Sign in to the Zoom account you want to connect if Zoom asks.
  5. Review the OneClickRooms permissions shown by Zoom and select Allow or Authorize.
  6. After Zoom redirects you back, confirm the Zoom Meeting card shows Connected.

Zoom: use it with class schedules

In the class schedule workflow, select the connected Zoom account in the virtual meeting step. OCR asks Zoom to create a scheduled meeting and associates the returned join URL and meeting ID with the schedule request. A passcode is available only if it is included in the Zoom meeting details or returned join URL.

After an authorized administrator publishes the schedule, the Zoom join link can appear with the schedule and in its notification email or calendar invitation where those outputs are enabled. This creates an individual scheduled meeting; it does not configure recurring Zoom meetings or give OCR access to attendance or session content.

Zoom: update or cancel a class meeting

When an allocated class schedule changes or is cancelled, OCR may attempt to update or delete its associated Zoom meeting while the connected account is active and the provider accepts the request. If the account is disconnected or Zoom rejects the operation, the school schedule remains the local record to follow; an administrator should review the meeting directly in Zoom.

Removing OneClickRooms from the Zoom Marketplace revokes its authorization but does not automatically delete meetings already created in Zoom. Delete those meetings in Zoom if they should no longer be available.

Disconnect Google Meet, Microsoft Teams, or Zoom

Open Profile icon > Settings > Connect Apps and select Disconnect on the provider card. This stops OCR from using that saved connection. Previously generated join links may remain on schedules, in sent email, or in calendar invitations.

For Zoom, disconnecting inside OCR does not by itself remove OneClickRooms from the Zoom account. To revoke authorization there, sign in to the Zoom App Marketplace, open Manage > Added Apps, find OneClickRooms, select Remove, and confirm. Zoom deauthorization can cause OCR to delete saved connection information; schedule-linked meeting records remain.

Troubleshooting

  • Provider does not connect: confirm the intended account is signed in and ask the provider administrator whether application consent is restricted.
  • Meeting link is missing: confirm the provider card says Connected, the class schedule supports that provider, and the schedule request completed the meeting step.
  • Schedule change did not update the provider: check the meeting in the provider account and verify that the connection remains active.
  • Zoom still shows a meeting after disconnect: disconnecting or removing the app does not automatically delete an existing meeting; review it in Zoom.

Data requests and support

For a question about an account connection or schedule link, contact [email protected] and include the school name, provider, and relevant schedule date. Do not send passwords, access tokens, or setup links.

For privacy requests, see the OneClickRooms Privacy Statement. The school or connected account owner may request access, correction, export, or deletion of eligible information, subject to identity checks and applicable legal, security, and operational retention requirements.

Recommended next step
