Academic mappings define how source-campus records correspond to destination-campus records when campuses use different boards, classes, or academic terms. Set up the equivalency before staff process transfers that need it.
Before you begin
- Obtain the approved source-to-destination equivalency from the academic administration team.
Confirm the mapped placement on the transfer request before final approval.
-
Open Academic Mapping
Use System Settings or Administration > Academic Mappings with the institution-level role authorized to maintain mappings.
-
Create or select the academic catalogue
Choose the source and destination academic structure and add the catalogue, level, or period relationship required by the transfer route.
-
Review each equivalency
Confirm that the source board, class, programme or level, and term maps to a valid destination equivalent. Add explanatory notes where the workflow permits.
-
Activate and test
Save the mapping and review a transfer request using the source and destination campuses. Confirm the mapping appears as expected before approving a live student transfer.
Verify a mapping against the student’s source record and destination curriculum before activation.
Policy and history
Mappings determine how the student’s current academic position is understood at the destination. They should reflect an approved school decision, not an informal guess based only on similar class names.
Review active transfer requests before changing a mapping that is already in use.
If no mapping exists
Do not select an unrelated destination class to force a request through. Ask the Institution Focal or Institution Admin to establish the correct equivalency.
