Guardian details on a student record and parent portal access are related but separate. The school can record a guardian without creating an account; a parent login is created or assigned only through the parent-account options.
A parent can see only students explicitly assigned by the school. Assignment can be direct for one student or made to a verified sibling linkage to cover its members. Each student can have only one active parent account; the portal prevents a second parent from being assigned while the first assignment remains active.
Before you begin
- Confirm the guardian identity and email. For siblings, verify the linkage before assigning access.
Verify the parent assignment list, activation email, and student cards shown after parent sign-in.
-
Assign from a student row
In Manage Students, open the student’s three-dot menu and select Assign Parent. If the student belongs to an active sibling linkage, follow the page message to open that linkage and assign access there.
-
Find an existing parent
Search using the guardian CNIC and other available search details. Review the returned name and masked identifier, then select the correct account. If no account is found, use the new parent registration option.
-
Register a parent
Enter the parent’s full name (up to 180 characters), 13-digit CNIC (with or without dashes), mobile number, and valid email address. Upload the parent’s photo ID (maximum 5 MB). A parent portrait is optional and, when supplied, must be JPG or PNG and no larger than 5 MB. Confirm the details with the guardian before saving.
-
Assign at the correct scope
Select the guardian relationship when assigning directly to a student without an active sibling linkage. For siblings, open the linkage and assign the parent to the whole verified group. A student or active linkage can have only one active parent assignment. Review the resulting assignment list.
-
Complete parent activation
The system sends a secure, single-use account setup link to the registered email for a newly created parent account. The link expires after 24 hours. The parent follows it to set and confirm a password of at least 10 characters, then signs in with the registered email and password. Existing parents are searched for by CNIC and assigned rather than registered again.
An active sibling linkage must be managed through Sibling Linkage so the group relationship and parent scope stay aligned.
When adding a new student
The student record can store guardian details, but those details alone do not create parent portal access. Parent accounts and student assignments are managed separately through Assign Parent after the student record exists. This does not replace the student’s own login.
Review and revoke access
Use the parent assignment list to confirm the assigned student or linkage. Authorized staff can revoke an assignment when access should end. Recheck the parent portal scope after a family, campus, or student-record change.
A parent who cannot see an expected student should contact the school office. School staff should check the direct assignment, linkage membership, parent account status, and institution scope.
Parent login and student workspace
After parent sign-in, the parent lands on the Family Dashboard and sees a student card for each currently linked student. Selecting a card opens that student’s dashboard. The shared student selector can switch to another linked student, and pages such as My Finances, homework, results, timetable, exams, accommodation, and other student services use the selected student’s records. The parent can pay or submit payment evidence for the student and perform the student-facing actions available in supported workflows on the selected student’s behalf.
The selected student context remains active while moving between pages. A parent cannot open an unassigned student by changing a URL or request; the server validates the assignment. Switching students changes the context and each student’s own access rules apply. The parent portrait uploaded by school staff is used in the parent header and Family Dashboard.
Financial Hold and parent email copies
A campus Financial Hold rule can be enabled to restrict portal access when a student has an overdue balance after the applicable charge due date and grace period. After a parent selects a student, the Education navigation shows the same student menu as that student sees when signed in, whether or not a hold is active. The hold is evaluated for the selected student in both sessions; opening a restricted page or submitting a restricted action redirects to My Finances. My Finances takes priority in the hold flow, and payment plus invoice and receipt access remain available. If the hold belongs to one child, switching to another linked child uses that child’s own hold status.
Student-targeted emails generated by the portal are also copied to the linked parent when the active parent assignment can be resolved. Password reset emails are excluded; security notifications are included.
