Create staff and teacher accounts

OCR for Schools is the school management product in OneClickRooms (OCR) for Education. The other product is OCR for Higher Education.

Set up staff access and assign teachers to the campuses, classes, and subjects they support.

Portal path Administration Employees / Manage Teachers

Create an individual account for each staff member who needs to use the portal. Assign only the school roles, campuses, classes, and subjects needed for that person’s work.

Before you begin

  • Have each staff member’s approved role, campus, and school email ready.

Ask the user to sign in and confirm the role-specific pages they need.

  1. Open the relevant staff page

Use Employees or Manage Teachers, depending on whether the person needs a general staff account or teaching assignments.

  2. Enter the account details

Provide the staff member’s name and unique email, along with the required school employment details. Check spelling because the email is used for sign-in and account messages.

  3. Assign role and campus access

Choose the least access needed for the person’s responsibilities. If the role is campus-scoped, select the campus or campuses where the user works.

  4. Assign academic work

For teachers, select the applicable class and subject relationships where offered. Review the timetable and academic pages after saving.

  5. Send or confirm account setup

Use the supported invitation or password setup process. Ask the user to activate their own account and confirm they can see only the expected menu.

Do not share staff logins

Individual accounts preserve approval ownership and change history.

Role assignments

Some staff users may hold more than one capability. Each capability should be assigned through the school’s role and campus assignment process; creating another login for the same person is not a substitute.

Changes to a staff member’s campus assignment should be reviewed against active schedules, approvals, and pending tasks.

Teacher timetable

Teacher assignments and published schedules determine which classes appear in the teacher’s work context. If a class is missing, check the campus, subject, term, and schedule publication status.
